ITS Q1 2022 Accomplishments

ITS staff have been busy this spring semester ushering in many Q1 campus technology improvements and advancements. ITS strives to provide our campus with the latest and most secure technology that ensures SF State student success, safety, and educational wellbeing. ITS would like to show our gratitude for our dedicated and hardworking staff, leadership, and campus colleagues for their support and dedication to SF State technology and continuing to support advancing our campus into the future. We are “better together.”

Communities of Practice

  • Hosted multiple Security Communities of Practice sessions attended by Academic Technology (AT), Graduate College of Education (GCOE), Advancement, College of Health and Social Sciences (CHSS), Procurement, ITS teams, Enterprise Risk Management (ERM), Audit and Advisory Services (A&AS), Library, Associated Students (ASI), University Corporation (UCorp), and Disability Programs and Resource Center (DPRC)
  • Hosted multiple Service Management Communities of Practice sessions attended by campus IT partners/providers, Procurement, Human Resources (HR), Bursar, Disability Programs and Resource Center (DPRC), Housing, and Library

COVID Safety

  • Moved COVID-19 questionnaire to production on February 17, 2022

Gateway Portal Updates

  • Added Microsoft Teams to the Gateway Launchpad
  • Completed Gateway email options and security question improvements
  • Completed the Gateway Enhancements to re-style remaining custom applications to match new Gateway style

Higher Education Emergency Relief Fund (HEERF)

  • Completed Phase 2 enhancements for Higher Education Emergency Relief Fund (HEERF) by enhancing the process for students to request funds for outstanding financial obligations
  • Deployed 282 laptops and 266 monitors as part of the HEERF laptop distribution project

Housing & StarRez

  • Added DMARC domain security for StarRez email related to housing.sfsu.edu
  • Completed StarRez Housing Application for Summer/Fall 2022 Cycle April 1, 2022
  • Implemented new StarRez Conference Event Management Portal X

Infrastructure Improvements

  • 835 Market Street fully vacated, and all equipment migrated to the new Downtown Center location or back to the main campus
  • Completed CSTAT Web Application Replacement
  • Completed HRMS to ServiceNow iPaaS Integration
  • Completed Human Resources Management System (HRMS) Self-Service Direct Deposit
  • Completed ITS Drupal 8 website migration for ITS site: https://its.sfsu.edu/
  • Completed PCR (Telemanagement system) software upgrade
  • Completed secure email integration of College of Business’ (COB) Salesforce to use @mailer.sfsu.edu subdomain
  • Completed SF State Global Login integration with Active Directory (AD)
  • Completed SumTotal to ServiceNow Integration
  • Completed the Blackboard Connect Structured Query Report (SQR) to include cell phone information
  • Completed Windows server patching for March
  • Developed forward-only process for @emeritus.sfsu.edu
  • Migrated Academic Technology’s UniPrint print server from Library to the ITS private cloud
  • Set up virtual server for on-premise hosting of the ProCare app
  • Updated CEL Shopping Cart to allow enrollment in both credit and non-credit courses
  • Upgraded ServiceNow Production and Dev instances to Rome version January 7, 2022

Information Security Developments

  • 288 compromised email accounts and 329 Technology Acquisition Review (TAR) requests
  • All student accounts, including CEL students, are enrolled in 2FA as of February 21, 2022
  • Completed GlobalProtect Virtual Private Network (VPN) default browser configuration changes
  • Completed security enhancements for password reset, bypass code reporting, and ID Lookup
  • Completed Zone Protection Profile (ZPP) updates on the PAN Border Firewalls (FWs)
  • Conducted a campus phishing test exercise which showed a 17.5% lower susceptibility rate than previous tests: https://its.sfsu.edu/content/securityawarenesscampaignsummary
  • De-provisioned 200,000 dormant accounts from the Campus Active Directory
  • Disabled email legacy protocols for Office 365 on April 1, 2022
  • Implemented Single Sign-On (SSO) for Canva and Sona-Systems
  • Launched Technology Acquisition Review (TAR) enhancements in the Service Catalog
  • Onboarded Disability Programs and Resource Center (DPRC) into Microsoft Defender ATP
  • Renewed SSL certificates on the SF State Global Login
  • Rolled out “external” email tags to easily see external senders and identify potential malicious email
  • Updated Campus Active Directory SSL certificates with zero downtime
  • Updated PAN Firewalls to mitigate future security incidents
  • Updated ServiceNow Catalog items for Virtual Private Network (VPN), DocuSign, Security Incidents, and updated inbound routing for Academic Technology (AT) emails
  • Updated the SF State Security Logging Policy

ITS Staff

  • Shawn Hicks has been promoted to the Director of Web, Mobile, & Cloud Applications

OnBase Developments

  • Completed construction of OnBase Knowledge Base (KB) guides
  • Completed CSU Apply WebAdmit to OnBase integration on March 15, 2022
  • Completed OnBase integration with ScanStrong for HR benefits and payroll documents
  • Completed OnBase Report Generator reports for Financial Aid and Undergraduate Admissions

SF State Mobile App

  • Completed development for the new Health & Wellness mobile app module. Moved the module to production March 30, 2022
  • Completed FlowBird parking payment app integration into the SF State mobile app on March 25, 2022
  • Modified the Drupal 8 platform to improve content sharing with the SF State mobile app
  • Moved new Class Schedule features to production in the SF State mobile app on March 29, 2022
  • Posted Housing Spring 2022 Move-In Guide and updated dining operating hours in the SF State Mobile App

Student Health Services (SHS)

  • Completed Konica Minolta Provider Portal setup for SHS X-rays
  • Resolved SHS pharmacy printing issues to align print functions with pharmacists’ requirements
  • Set up SHS Print Server and finalized 7-year data retention plan with Connectria

Student Success

  • Completed CEL Shopping Cart enhancement to allow matriculated students to add credit courses
  • Completed phone calls to support Enrollment Management Student Admissions Acceptance Outreach

Two-Factor Authentication (2FA)

  • Disabled Office 365 legacy email protocols for employees to enforce 2FA for email
  • Enrolled and enforced all students (including CEL students) in Duo 2FA
  • Provided extensive project support for 2FA for Students, including weekend coverage January 22-23, 2022

Unified Communications (UC) Project

  • Completed UC migrations for Burk Hall and Creative Arts
  • Completed UC migrations for the Gym
